Privacy Policy
How information from this website, our forms and downloads, Zoom registration, attendance, participation, and recordings is collected, used, shared, kept, and deleted — and the choices you have at every step.
Scope
This Policy applies to www.patchologyx.com, including www.patchologyx.com/zoom and related pages, forms, downloads, and embedded features, as well as Zoom registration and Sessions hosted by The PatchologyX Team. It works alongside our Terms & Conditions.
Sections 4, 11, and 15 are the ones worth reading before you register for anything: what not to send us, your recording choices, and how to exercise your privacy rights.
01 Who controls your information
BMG COLLECTIVE LTD, doing business as The PatchologyX Team ("PatchologyX," "we," "us," or "our"), is the controller or business responsible for the personal information described in this Policy. We are organized in Ohio, United States. Privacy requests may be sent to info@patchologyx.com. Postal contact information will be provided when legally required or reasonably necessary after a request is initiated by email.
Squarespace, Zoom Communications, Inc., Google, Vimeo, and other service providers may also process information under their own privacy notices or as service providers to us. Their notices are listed in Section 16.

The Site, Sessions, and registration are intended only for adults age 18 or older. We do not knowingly collect personal information from minors. If you believe a minor submitted information, registered, or attended, contact us so we can investigate and delete information where appropriate.

Website and device information
IP address, approximate location derived from IP, browser, device, operating system, referring and exit pages, dates and times, pages viewed, links clicked, cookie or similar identifiers, and diagnostic, performance, security, and usage data.
Forms, resources, and relationship information
Name, email address, city and state, whether you identify as a customer, prospective customer, Brand Partner, prospective Brand Partner, team member, or other visitor; referral source; requested guide, booking or follow-up request; registration status; consent choices; and questions submitted through the Site or before a Session.
Attendance and technical information
Session ID, display name, attendance time and duration, participation status, recording-consent status, meeting interactions, IP address, approximate location derived from IP, device and browser information, and diagnostic or security data made available through Zoom or related services.
Participation content
If you choose to participate, we may process your image, voice, likeness, background, display name, statements, chat, Q&A, poll responses, reactions, shared screens, files, feedback, and other content you provide. Other participants may see information you choose to display or share.
Recordings and derived media
For a Session identified as recorded, we may collect audio, video, screen sharing, chat, transcripts or captions, and other content included by the recording settings. We may create authorized clips, captions, translations, training segments, social-media content, promotional materials, or course content as described in the Terms & Conditions and the recording notice.
Communications and requests
Emails, questions, guide-delivery and follow-up messages, booking or customer requests, support communications, privacy requests, opt-in marketing preferences, unsubscribe choices, and records of our response.
Third-party interactions
Information associated with embedded Vimeo videos, Zoom registration or scheduling, Instagram or other social links, and LifeWave, LightTechX, or other referral destinations may be collected by those third parties under their own notices. We may receive limited referral, registration, booking, or campaign-attribution information from them.

Do not provide medical records, diagnoses, medication details, government identification numbers, financial-account information, passwords, precise location, information about minors, or other sensitive personal information through the Site, registration fields, chat, Q&A, or a Session.
PatchologyX is not a healthcare provider, and the Site and Sessions are not designed to receive protected health information. If you voluntarily disclose sensitive information, it may be visible to the host, service providers, other participants, or the audience for an authorized recording, depending on how and where you disclose it.

- directly from you when you browse the Site, submit a form, request a guide, book a call, register, communicate, make privacy choices, or participate;
- from Zoom through registration, attendance, consent, usage, security, recording, and account reports;
- from Squarespace and Google Workspace when those services host the Site, a form, email, file, calendar, or administrative record;
- from Vimeo and other embedded-content providers when you view or interact with embedded media;
- from Instagram, LifeWave, LightTechX, scheduling services, and other linked services when they provide referral, booking, registration, or campaign information;
- from the person or campaign that referred you, limited to referral attribution and information they are authorized to provide; and
- from hosts, moderators, or other participants when needed to investigate safety, compliance, or misuse.
06 Why we use information
- to operate, maintain, understand, improve, personalize, and secure the Site and embedded features;
- to deliver requested guides or resources and the short follow-up series disclosed with the applicable form;
- to register and authenticate attendees; provide Session links, reminders, changes, and required notices; and deliver the Session;
- to administer attendance, bookings, questions, requested customer or Brand Partner follow-up, and business records;
- to operate waiting rooms, moderate conduct, prevent link sharing, investigate misuse, secure Sessions, and enforce the Terms & Conditions;
- to document consent, comply with LifeWave policies and FTC requirements, review product or earnings statements, and establish or defend legal claims;
- with consent, to record a Session and create or use authorized training, social-media, promotional, course, or membership content;
- with separate optional consent, to send marketing communications; and
- to comply with law, lawful requests, and regulatory or court obligations.
07 Legal bases where applicable
Where laws such as the EEA or UK GDPR require a legal basis, we rely on one or more of the following: performance of an agreement or steps you request, such as delivering a guide, booking a call, or administering registration; your consent for nonessential cookies, recording, media use, or optional marketing; our legitimate interests in operating and securing the Site, administering Sessions, answering requested follow-up, measuring performance, maintaining compliance, and establishing legal claims; and compliance with legal obligations.
Where we rely on legitimate interests, we consider the nature of the information, the context, and your reasonable expectations. You may withdraw consent prospectively at any time, but withdrawal does not affect prior lawful processing.

We may disclose personal information only as reasonably necessary for the purposes described above:
- to Zoom for registration, hosting, participation, security, recording, reporting, and related platform functions;
- to Google Workspace for email, files, calendars, forms, administrative records, and collaboration;
- to Squarespace for website hosting, forms, cookies, analytics, security, and related services;
- to Vimeo and other embedded-content providers when you load or interact with their media;
- to scheduling, social-media, referral, and linked-service providers when you choose to use those features;
- to authorized hosts, moderators, contractors, advisers, and technology providers subject to appropriate duties;
- to other attendees when you choose to display or share information in a Session;
- to the public, team members, or paying members when you affirmatively participate in an authorized recording covered by the Terms & Conditions and recording notice;
- to LifeWave compliance personnel when reasonably necessary to report or investigate a suspected violation involving LifeWave products, marks, or the business opportunity;
- to courts, regulators, law enforcement, or other parties when required by law or reasonably necessary to protect rights, safety, and security; and
- to a successor or adviser in connection with a proposed or completed merger, financing, reorganization, sale, or transfer, subject to appropriate protections.
We do not sell personal information for money, rent visitor or attendee lists, or knowingly use personal information for cross-context behavioral advertising or targeted advertising. Embedded or linked third parties may use cookies or process data for their own purposes under their notices. If our own practices change, we will update this Policy and provide any legally required choices before the new practice begins.

Guide delivery, the short follow-up series disclosed with a guide form, event logistics, recording notices, policy updates, security messages, and responses you request are sent in connection with your request and do not require separate marketing consent where permitted by law.
Broader marketing email is optional and requires a separate opt-in where required. You may unsubscribe using the link in an email or by contacting info@patchologyx.com. A requested customer or Brand Partner follow-up will be limited to the subject of your request unless you separately consent to broader marketing.
↑ Back to top10 Cookies, analytics, and embedded content
Squarespace and embedded providers may place or read cookies, pixels, local storage, or similar technologies needed to operate, secure, remember choices, measure traffic, and deliver video, scheduling, registration, or social features. Vimeo, Zoom, Instagram, and other embedded or linked providers may receive your IP address, device information, and interaction data when their content loads or when you choose to use their service.
Where required, we will request consent before using nonessential cookies or similar technologies. You may use any cookie controls displayed on the Site and your browser or device settings. Blocking technologies may cause videos, forms, scheduling, or other features not to work. We do not currently use our own data for targeted advertising.

Only PatchologyX or an expressly authorized person may record. The usual www.patchologyx.com/zoom format may record the main presentation for replay while leaving the live Q&A unrecorded. If another portion will be recorded, we will provide clear additional notice and obtain consent as required. Zoom may display a recording indicator or consent prompt. If you do not consent, decline the prompt and leave the recorded Session.
You may reduce your appearance by keeping camera and microphone off, using an approved generic display name, and not using chat, Q&A, polls, reactions, shared files, or other participatory features. These choices do not eliminate registration, attendance, technical, or security data.
A request to withdraw recording or media consent should be sent to info@patchologyx.com. Withdrawal is prospective and is subject to the practical limits explained in Section 6 of the Terms & Conditions, including material already lawfully distributed or outside our reasonable control.

- Registration, attendance, referral, guide-delivery, booking, form, and routine follow-up records: generally 24 months after your last relevant interaction, unless deleted sooner or needed longer for law, security, compliance, or a dispute.
- Website logs, cookie identifiers, analytics, and security records: according to the applicable provider settings and ordinarily only as long as reasonably necessary for operation, measurement, security, or legal obligations.
- Raw Zoom recordings and unedited recording files: generally deleted within 90 days after the Session.
- Authorized edited excerpts and derived training, promotional, social-media, course, or membership materials: up to five years from the recording date, followed by a reasonable removal transition for channels we control.
- Consent, opt-out, compliance, incident, and legal records: for as long as reasonably necessary to demonstrate compliance, enforce agreements, resolve disputes, or meet legal obligations.
- Backups and provider-controlled logs: removed through ordinary backup and deletion cycles, subject to service-provider and legal requirements.
13 International processing
PatchologyX is based in the United States. Squarespace, Zoom, Google, Vimeo, and other providers may process information in the United States and other countries, which may have different privacy laws than your country. Where applicable law requires a transfer mechanism or additional safeguard, we will rely on the provider's contractual safeguards, an applicable adequacy decision or data-privacy framework, standard contractual clauses, consent where legally valid, or another permitted mechanism.
The availability of a Session in a location does not mean we intentionally offer regulated services in every jurisdiction. We may restrict registration or participation where local requirements cannot reasonably be met.

We use reasonable administrative, technical, and organizational measures appropriate to the nature of the information, including access controls, account security, restricted sharing, waiting rooms or passcodes where appropriate, and provider security features.
No internet transmission, virtual meeting, recording, or storage system is completely secure. You are responsible for your device, network, surroundings, account credentials, and what you choose to disclose.

Depending on where you live and which law applies, you may have rights to request access, correction, deletion, restriction, portability, or a copy of personal information; object to certain processing; withdraw consent; opt out of marketing or certain disclosures; appeal a denied request; and complain to a privacy regulator. We will not discriminate against you for exercising an applicable right.
How to make a request
Submit a request to info@patchologyx.com with the subject "Privacy Request." Describe the relevant Site interaction, form, or Session and the right you wish to exercise. We may verify your identity and authority, request clarifying information, apply lawful exceptions, and retain a limited record of the request. You may use an authorized agent where applicable law permits, subject to verification. For information controlled directly by Zoom or another provider, you may also need to use that provider's privacy process.
We do not use Session information for solely automated decisions that produce legal or similarly significant effects.

17 Changes to this Policy
We may update this Policy to reflect changes in the Site, Sessions, providers, law, or business practices. The effective date will be revised when changes are made. If a change materially affects information already collected, we will provide additional notice or request consent where required.
